Executive Administrative Assistant

Reporting to the President, the Executive Administrative Assistant will be responsible for a wide range of administrative functions requiring the highest levels of accountability, confidentiality and professionalism. The Executive Administrative Assistant will primarily work directly with MFR’s President, but be able to work across all levels of management to support business initiatives through effective communication, people, and process management skills.

Responsibilities and Duties

  • Heavy calendar and email management including but not limited to the scheduling of monthly meetings, reoccurring meetings, and daily activity
  • Schedule and manage travel for the President and other internal team members as necessary
  • Support Leadership with International travel – keeping apprised of current national and international rules and regulations
  • Proactive preparation for all virtual meetings and events, ensuring smooth and successful connections to the best of abilities
  • Meeting planning and preparation for President and Leadership Team as requested
  • Ordering and management of internal office supplies
  • Record keeping of concise meeting notes, minutes and follow-up
  • Coordination of key projects for President
  • Ordering meeting and catering supplies for the President and other company meetings and events
  • Welcome guests by greeting them, in person or on the telephone as applicable
  • Support expense reconciliation for President and Corporate expenses
  • Review ad-hoc internal and external presentations as directed and requested by team members
  • Minimal personal support for President as needed

Essential Skills and Abilities

  • Associate or Bachelor’s degree preferred
  • 5 + years of Executive Administrative Support experience to Presidents or C-Suite Executives
  • Ability to react without delay to spur-of-the-moment tasks
  • Professional, positive and friendly communication at all times
  • Proficient in computer technology; Entire Microsoft Suite; Word document creation, proofing and production using branding materials, templates and guidelines
  • Communication abilities, both verbal and written on behalf of the President
  • Trustworthiness and confidentiality regarding company proprietary information
  • Detail focused attention to grammar, punctuation, spelling and proofreading
  • Exercise autonomy and good judgment in a variety of situations
  • Ability to prioritize many projects at one time
  • Ability to understand, execute and follow directions with moderate to minimal supervision
