Accounting Specialist

Job Summary

The Accounting Specialist will manage the overall administration of commercial invoicing, presentation of letters of credit, payments to vendors and purchase order writing.  This position will report to the Manager of Accounting, Compensation & Benefits and work closely with Finance & Supply Chain teams.

Responsibilities and Duties

  • Manage the execution of transactions for receivables and payables ensuring accurate receipts from customers and payment to vendors.
    • Calculate amounts and process deposits to vendors; manage timing to maintain vendor relationships; track adjustments, etc.
    • Accurately manage vendor payables based on pre-determined terms
    • Record all cash receipts against corresponding receivable in financial accounting systems
    • Review all payment receipts to ensure accurate payment amounts, work with Bank and/or Customers as discrepancies arise
  • Calculate and submit applications for Vendor Transfers of Letters of Credit
    • Calculate each Transfer Letter of Credit, reporting to the Bank the transfer amount and the purchase orders that should be applied to each vendor
  • Assists Operations specialist with processing and data entry of Purchase Orders for our suppliers.
  • Assists Operations specialist with item set up tasks required to be completed by customers before order.
  • Participates in special projects and other duties as assigned.

Education & Other Qualifications

  • Experience managing accounts payable/receivable, particularly in working with purchase orders and letters of credit.
  • Experience in enterprise software programs and cloud-based ERP systems preferred.
  • Intermediate level of proficiency with basic financial reporting and analytical software (Excel – pivot tables, macros, v look up).
  • Strong skills and knowledge of: Microsoft Suite (Word, Access, Excel and Outlook)
  • Strong attention to detail and organization.
  • Ability to manage customer, vendor and bank relationships simultaneously and in conjunction with each other.
  • Ability to effectively communicate and influence both internally and externally.
  • Proven ability to manage stakeholder groups at a distance, particularly in China.
